The Executive Aide will support the President of Re:Gender and manage the day-to-day functions of the executive offices while providing high-level administrative support. There will be significant exposure to activities at the executive level and an opportunity to manage key organizational processes and activities. The successful candidate must be able to work well in a fast paced, project driven environment, have the ability to multi-task and, at times, create solutions on behalf of the President and the organization.
Key responsibilities include:
- Enhance the President’s effectiveness by providing information management support and executing select projects.
- Anticipate conflicting priorities and maintain balance to make sure key projects and priorities meet deadlines.
- Effectively manage and prioritize the President’s time, meetings, and deliverables. Manage all scheduling/calendar and related activities, keep abreast of and schedule conferences and related travel.
- Interact regularly with various members of Re:Gender’s team, Board members, and other important stakeholders
- Create, route and process written and verbal correspondence while exercising a high degree of discretion and confidentiality. Prepare and organize letters, presentations and other documents,
- Ensure urgent and priority correspondence and matters are communicated in a timely and effective manner.
- Manage filing and organization of information in paper and electronic files.
- Coordinate travel and meetings, including preparations, logistics and, when necessary, facilitate changing plans.
- Serve as liaison to Board members and act as primary contact for providing, obtaining and sharing information and scheduling of Board and Board committee meetings. Coordinates distribution of all meeting notices, information packets, handouts, and other documents via email and web-portal. Provides logistical preparation for Board meetings and events and various other related meetings, including location, room set-up, meals and supplies.
- General administrative duties (e.g. taking detailed notes) and special projects with constantly moving priorities.
- BA/BS degree
- At least four years reporting to a senior executive combined with project management success
- Excellent writing skills are required
- Skill in organizing resources and establishing priorities
- Ability to maintain effective consensus building and harmonious internal and external working relationships at all levels; high level of credibility and influencing skills, as formal authority is limited
- Ability to prepare and present clear and concise oral and written reports.
- Ability to work independently, while possessing awareness as to when other resources, support or counsel may be required
- Ability to maintain confidentiality around sensitive and complex relationships and projects
- Sound judgment, superb attention to detail, flexibility, and ability to prioritize tasks and work accurately under deadlines
- Ability to anticipate the President’s needs and to interface well with sophisticated and instrumental stakeholders
- Interest in supporting the organization’s mission and goals
- A can-do attitude, friendly disposition and equal parts humor, compassion and sensibility necessary to address the practicalities and needs of a fast-paced dynamic non-profit
- Strong computer skills on a PC platform including PowerPoint, Word, Outlook and general troubleshooting as needed

The President is going on a 5 day business trip. The first half of the trip is in Los Angeles where she will be attending a conference and the second half is in Detroit where she will be meeting with potential donors. Please describe how you would prepare the President for this trip.
The annual Board meeting has been scheduled and will take place in the Re:Gender offices. Many of the Board members will be coming from out of town to attend the meeting. The Meeting will be held from 9 am – 4 pm, and afterwards the Board members who are still in town will want to have an informal dinner. Please describe how you would prepare the President and the office for this meeting.

Compensation: $55,000 plus health, dental, short- and long-term disability, and life insurance; pension plan (8% contribution with full vesting after 2 years); access to Transitcheck program; 12 paid holidays; 20 annual PTO days
